Privacy Policy

Sarah Alexander/Coaching Magnificence Privacy Statement:

This Privacy Statement provides details of the personal data I collect from you, what I do with it, how you might access it and who it might be shared with.

I am committed to protecting your privacy. In general, I will ask you when I need information that personally identifies you or allows me to contact you. The amount of personal information you are required to supply will normally be limited to that which is necessary to supply the service or carry out the transaction that you have requested. If other information is requested, it will be labelled as optional.

What I do with your data:

I process personal data only for the purpose for which it is collected. I may collect information about you whenever you interact with me, for example when you:

  • Contact me with queries by email, social media or phone
  • Respond to invitations for events
  • Visit my website.

The purpose is dependent on whether you use only my website, or additionally, my services. If you use my services and give your consent/Opt in, I will collect your personal data. I use this personal data for the provision of the service or the performance of the contract. I may use your personal data for other similar purposes, including marketing and communications, but that will only occur in the case I have your consent or another legal justification for doing so. From my clients I process and retain personal data for the following purposes and periods, with the applicable legal basis.

Clients:

As a client, I may hold the following information about you, all kept securely on Dropbox Plus

  • Name and contact information.
  • Demographic information such as address and postcode.
  • Information and documents relating to the service I am providing, including communications with you, business challenges and advice discussed during our conversations together, training proposals and contracts.
  • Billing and payment information.

I use your personal data to meet our contractual requirements to provide a service to you. I use your personal data as required by law, such as for tax purposes.  I also use your information to invoice you, and to keep track of payments that you make.

I currently use third-party online tools:

  • Constant Contact email marketing software

I retain information about you for the duration of our relationship with you, plus 1 year.  I retain financial records for 6 years, following the end of the current financial year.

Prospective Clients

As a prospective client, I will hold the following information about you:

  • Your name and contact information.
  • Information about your business activities.
  • Information and documents relating to the service we are offering, including communications with you.

If you make an enquiry to us via email, phone or the contact page on my website, I will use this information to follow-up on this enquiry to see if I can help you. At the end of the enquiry process, I will either transfer your data to your own client file, add you to our marketing process (with your consent) or delete your information.

Event Attendees

When you book onto a promotional workshop or talk I do, I may ask you to provide me with your name, email address, contact telephone number and sometimes payment details.  I typically ask you to fill out a brief questionnaire highlighting your top business challenges and the financial impact these are having. I process your details purely for the purpose of administering the workshop/talk.

I retain information about your booking for 12 months, at which point I will delete your details. However if you take up our services these details are transferred to your own client file.

Visitors to my Website

When you visit my website, I use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns.  I do this to find out things such as the number of visitors to various parts of the website.  The information is only processed in a way which does not identify anyone.

Your data’s security

I place great importance on the security of your personal information and will always try to take appropriate precautions to protect it. Only I have access to your information. While I strive to protect your personal information, I cannot guarantee the security of any information you disclose to me online and you must understand that you do so at your own risk. Your information will be stored in my Outlook contacts or on Constant Constant’s (www.constantcontact.com) servers. Their data processing agreement is here. Their privacy policy is displayed clearly when you Opt in to be on my mailing list.

I will never share your personal data with anyone unless I have your consent. If you ask me to stop sending you communications, I will keep a record of your contact details and appropriate information to enable me to comply with your request not to be contacted.

How I look after your personal data

You retain control of how I use your data and you have the right to ask me to stop processing your personal information, which I will do. You also have the right to request a copy of the information I hold about you. If you want to access your information, please contact me under the General Data Protection Regulation. This legislation also grants you a number of additional rights. These include:· The right to rectification.· The right to erasure. The right to data portability. The right to object.

How to access your personal data

You have the right to request access to any of your personal data I may hold. If any of that information is incorrect, you may request that I correct it. If I am improperly using your information, you may request that I stop using it or even delete it completely.

Where you have previously given your consent to process your personal data, you also have the right to request that I port or transfer your personal data to a different service provider or to yourself, if you so wish.

Where it may have been necessary to get your consent to use your personal data, at any moment, you have the right to withdraw that consent. If you withdraw your consent, I will cease using your personal data without affecting the lawfulness of processing based on consent before your withdrawal.

If you would like to make a complaint about how I process your personal data, please contact me. If you are not happy with how your complaint is dealt with, you should contact the Information Commissioner’s Office. Alternatively, you are entitled to make a complaint to the Information Commissioner’s Office without first referring your complaint to me. Use of Cookies

Coaching Magnificence does not make use of “cookies”. A cookie is a text file that is placed on your hard disk by a web page server. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies are uniquely assigned to you or your computer, and can only be read by a web server in the domain that issued the cookie to you. While they are only used for internal tracking purposes, you have the ability to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer.
